A report, from draft to sent

A report is a draft until someone sends it. A draft is seen only by staff. A sent report is what the parent reads, and it does not change afterwards.

Who can do it

A teacher, for the children of their own classes, and the office, for every child.

What you do

  1. You open the child's report

    In Daily reports, "Write next report" opens the next child whose report is not finished. With the first thing you choose, there is a draft.

  2. You fill it in

    Mood, meals and nap are choices. You type a note only if there is something to say. The report saves itself as you write.

  3. You see what is missing

    Under the report, "Missing:" names what it still needs: mood, meals and nap, each only if the school keeps that section on. Optional sections, such as toilet visits or medicine, never hold a report back.

  4. You send it

    "Save & Publish" sends this report. On the day's page, "Publish" with the number beside it sends every complete draft together. The portal then says how many parents were told.

  5. After it is sent

    The report opens read-only. The parent finds it on Today and in Notifications, and on a phone with the app as a notification with the child's first name and nothing from the report.

What you should see

The report moves to the day's completed ones, and History shows it as "Published".

If something went wrong

"Save & Publish" cannot be pressed
Something is missing, and the line under the report names it. Fill it in: a meal nobody recorded is not sent as eaten.
It says 0 parents were told
No parent is linked to the child yet. The report is sent, and they will find it once they are linked. The office invites them from the child's page.
A colleague changed the same report
If you both changed the same field, your save does not go through and you see both values: you choose one. Different fields merge by themselves.
It was sent with a mistake
A sent report cannot be corrected or deleted, and no correction can be added to it. Tell the parent yourself.
A draft should not exist
In History, the office deletes a draft. Nobody outside the staff has seen it.
The child was not at school
You write no report: you record the absence on the day's page. If the parent said the child is staying home, the child is already among the absent, and the portal asks before you write a report: "Record the absence" or "Write a report anyway".
The parent says they see nothing
Check in History that the report says "Published", not "Draft", and on the child's page that this parent is linked. A parent sees only sent reports, of their own children, on the day they are for.
