Team and roles

The office invites staff by email, decides who is an administrator and who is a teacher, and chooses what else teachers may do. A teacher sees the children of their own classes, not the whole school. Any member of staff who wants it signs in with two steps.

Decides who gets in and what they see

It invites a member of staff with a name, an email and a role. They get an email, accept, and choose their own password.
Two roles: “Administrator”, with the whole portal, and “Teacher”. A teacher sees only the children of the classes they are in, and not the settings or the team. Payments and the activity log they see only if the office gives them these.
In the list: each person’s role and classes, and who signs in with two steps. A role is changed from the list, with a confirmation. Nobody changes their own role, the owner cannot be demoted, and the school always keeps one administrator.
In Settings, “Teacher permissions”: it gives teachers any of posting announcements, sending broadcasts, managing children, managing classes, viewing payments and the activity log. Pinning announcements and recording payments stay with the office.
Under “Teacher reach” it chooses whether a teacher’s broadcast reaches only the parents of their own classes, and whether they may enrol a child from a colleague’s class into their own.
It removes a member with a confirmation: they lose access at once, on every device, and leave their classes. The reports they wrote stay as they were sent.
If someone loses their phone and their recovery codes, the office removes their two steps: the old password stops working, and the person gets an email to choose a new one. Invitations, role changes, removals, permissions and two-step changes stay in the activity log.
Every member of staff, the office too, turns two steps on under “My account” → “Security”: after the password, a six-digit code from an authenticator app on their phone. They also get ten recovery codes, each good once, for when the phone is lost.

A leaked password is not enough

With two steps, whoever learns someone’s password still cannot get in without their phone.

What it does not do

Two roles, no more: Administrator or teacher. There is no role for accounts only, for an assistant or for a visitor.
Permissions are for all teachers: What is given in Settings applies to every teacher in the school, not to one. “View payments” shows the payments of every family.
Two steps are optional: Each member of staff turns them on themselves, and the office cannot require them. Parents sign in with a password only.
The phone app does not ask for the second code: The version in the stores today does not ask for it. Whoever turns two steps on signs in through the portal, on a computer or a phone.
The owner cannot be changed in the portal: They cannot be removed or lose their role. If the owner’s two steps, or those of someone who also works at another school, have to be removed, NepiNest support does it.
