Payments

The office sets the amounts, records what is paid and sees who has paid each month. The parent sees the same months and the transfer details. Payment goes straight to the school: NepiNest takes no money and issues no receipts.

The pictures are from the demo, a school with made-up names, as the portal and the website are today, on a computer and a phone. The demo school's payment instructions are in Greek.

Records what is paid and sees what is left

  • It sets once each child's monthly amount, the subsidy (ΕΣΠΑ, as an amount or a percentage), the sibling discounts, the due day and the months it charges, with the IBAN and the instructions parents see.
  • Monthly charges are posted by themselves on the day it chooses, if it wants, or by hand once it has seen which children will be charged and how much. A run can be undone as a whole. Registration, a trip or materials go in as a one-off charge.
  • It records a payment with its amount, date and method: cash, bank transfer, card or a payment app. A payment goes to the family, not to one month, and covers the oldest open month first, as the office would count it by hand.
  • When a parent says they sent a transfer, it waits at the top of “This month”: the amount, the day and the reference. If the office finds it at the bank, “Record payment” opens the form filled in; if not, “Not found”, with a line the family reads. Only the payment changes the balance.
  • Under “By month”, one row per family and one box per month of the year: paid, part paid, due or overdue. An open box opens the payment form with the amount that settles it. Beside it, the totals by month and by class.
  • For each family it makes a card with a QR code for whoever pays, even without an account. It opens a read-only page with the months and the transfer details. Cards print ten to an A4 page and work until the end of the school year.
  • Automatic reminders are off until it turns them on. Then the family is told once about each month still open the chosen number of days after its due date, in the daytime. A reminder can also be sent by hand from the grid.
  • A payment recorded by mistake is voided with a reason: it stays in the history as voided, and the months it covered open again. The grid, the totals and the year’s payments download as CSV for Excel. Payments, voids, reminders and changes to the settings stay in the activity log.

Sees what they owe and how to pay

  • Under “Payments”: the balance, and this month's breakdown with the monthly amount, the subsidy, the sibling discount, their part and the due date.
  • “How to pay”: the school’s IBAN, if it has given one, the family’s payment code for the transfer reference, and the school’s instructions, ready to copy.
  • “Already sent a transfer?”: they tell the school the amount, the day and the reference, so it knows what to look for. They see whether it is waiting, recorded, or not found and why. The balance does not change until the school records it.
  • “Month by month”: the months of the year, the same ones the school sees, and how much is left on those not settled. “Payment history”: every payment the school recorded, with its date, method and reference.
  • “For whoever pays”: the same link as the school’s QR card, to send to whoever makes the payments. If it went to the wrong person, they stop it and get a new one.
  • When the school records a payment, they hear of it under Notifications and by email, which says it is not a receipt. While something is owed, the home screen says so in one line, with the due date.

What it does not do

It takes no payments
The parent pays the school as always, in cash or by transfer. No money goes through NepiNest.
It issues no receipts or invoices
It is not connected to the tax authority’s myDATA. What it shows is for information, and the card says so: “Not a receipt”. The school issues its own documents as it already does.
It does not see the bank
It is not connected to a bank account: a transfer shows once the office records it. A parent can say they sent one, but that does not change the balance.
Teachers do not see it
Unless the office gives them “View payments” in Settings. Then every teacher sees every family, without recording anything.
A reminder shows no amount on the phone
The notice says which month is still open. Only the email states the amount, and it goes to the parent's own address.

Try it

The demo opens on payments, in the browser: the office in the portal, the parent on the website. It is a school of made-up children, yours alone, which deletes itself.
